Secretarial
- Prepare meeting notice and agenda for annual general meeting
- Convene annual general meeting
- Prepare and distribute minutes for meetings
- Call for nominations for the committee and annual general meeting agenda motions
- Attend committee meetings if required
- Accept and distribute notices on behalf of the body corporate
Administrative
- Pay insurance premiums
- Establish and maintain a roll of lots, entitlements, assets and approvals
- Provide information certificates required by the Act
- Maintain and keep records pursuant to the Act
- Establish, maintain and operate a bank account in the name of the body corporate
Financial
- Establish, maintain and operate an administrative fund and a sinking fund
- Prepare a statement of accounts for each financial year
- Prepare a draft budget for each financial year for consideration at the annual general meeting
- Calculate and issue levy notices to owners
- Receipt and bank levies received by owners into the appropriate fund
- Arrange for payment of service providers and tradespeople
Secretarial & Meeting
- Maintain a roll of owners & tenants
- Attend to routine communications
- Provide information to owners, residents and other stakeholders
- Attend annual general meeting & committee meeting
- Prepare and distribute minutes of annual general meeting & committee meeting
- Source insurance quotes for the owners corporation
- Arrange strata insurance cover as required, with approval
- Hold common seal & records of owners corporation
Accounting
- Maintain the trust account and accounts for the owners corporation
- Prepare reconciled accounts using the cash accounting method
- Manage the administrative and capital works funds
- Prepare budgets for the administrative and capital works funds
- Arrange for capital works plan to be prepared or updated
- Establish investment accounts as required
- Payment of creditor invoices
Repairs, Maintenance & Risk Management
- Arrange for standard work for repairs, maintenance and/or replacement of the property within specified limits
- Arrange building inspections and reports as required.
